CASE STUDY · HEALTH INSURANCE

Invoice automation across two procurement platforms at once.

Most invoice automation assumes one procurement platform. This group runs two, so everything had to be built twice and behave identically.

The challenge

A health insurance group ran procurement on two platforms — Coupa and Unimarket — with PeopleSoft as the finance system behind them.

Automating invoices for one and not the other would have split the process in two. Supplier and purchase order data also had to stay aligned across both, or automated matching would fail on exactly the invoices it was supposed to handle.

What we did

Valtatech deployed Valtatech Invoice AI for both Coupa and Unimarket, and the Valtatech Peppol Connector for both, so invoice capture and electronic receiving behave the same way regardless of which platform a purchase originated in.

Four lookup integrations keep the data aligned: supplier lookup and purchase order lookup from Coupa into Valtatech Invoice AI, and the same pair from Unimarket. Captured invoice data is validated against the supplier and PO records that actually exist, in whichever system holds them.

A dedicated Valtatech Invoice AI service manager was appointed to the account, meeting regularly to review processing volumes, agree process changes, identify where supplier communication was needed, and agree working instructions for the processing team.

The group is currently extending its Coupa footprint to expenses across Australia, New Zealand and Hong Kong.

THE OUTCOME

One invoice automation standard across two procurement platforms, with a named service manager rather than a ticket queue.

Valtatech is software vendor agnostic. The technology named here is what this client selected; we start from requirements, operating model and existing systems. See how we approach Source to Pay →
